Purpose of the Role:
The Administrator will be responsible for various administrative tasks, including sales support, dispatch, and invoicing. This role will also support various functions across the company, such as customer service, contracts, and order processing.
Key Responsibilities:
  1. General Administration:
  • Work in the Egham office five days a week.
  • Perform data entry and data cleaning in SAGE 200 (ERP software).
  • Handle flexible office tasks, such as answering the telephone, assisting field engineers, supporting the contracts team, and responding to customer queries.
  • Prepare quotes, process small customer orders, and issue invoices.
  • Process sales orders from contract managers, including creating quotes, order acknowledgements, delivery notes, and invoices.
  • Handle service and maintenance cases using Sicon.
  • Process RMAs (Returned for repair, warranty, or service).
  • Book out stock against contracts and assist with maintaining stock accuracy.
  • Investigate customer queries and resolve issues.
  • Highlight potential improvements to working systems and processes.
  • Take responsibility for resolving or escalating errors when necessary.
  • Contribute to maintaining data accuracy.
 
  1. Teamwork:
  • To meet customer requirements, work closely with the Systems Manager, Stores team, Account Managers, Contract Engineers, and the Director.
  • Provide support to colleagues when they are on holiday or absent.
  • Maintain strong relationships within and between departments.
  • Undertake additional tasks as directed by the Contracts Engineer or Director to ensure smooth department operations.

  • Comply with all statutory, company, and regulatory health and safety rules.
  • Ensure correct use of PPE as required.
  • Escalate any unresolved issues to the appropriate line manager or Health and Safety Manager.

  • Undertake training to acquire new skills and techniques that support the continuous improvement of the role and the department.
